Privacy policy
This Privacy Policy describes how Rootelier ("we", "us", "our") collects, uses and shares your personal information when you visit rootelier.com, place an order, contact our support team, or otherwise interact with us (together, the "Services").
1. Information we collect
Information you give us
- Order information: name, billing address, shipping address, email address, phone number, and the contents and value of your order.
- Payment information: your payment is processed by Shopify Payments and, where you choose them, PayPal, Shop Pay, Apple Pay or Google Pay. We receive confirmation of payment, the card brand and the last four digits. We never receive or store your full card number or CVV.
- Account information: if you create an account, your login identifier and order history.
- Support and customisation information: anything you send us through the contact form, the custom-size request form, the order tracking request form, or by email or phone, including room dimensions, photographs and delivery notes.
- Marketing preferences: your email address and consent state if you subscribe to our newsletter or SMS list.
- Reviews: the name, rating, text and any photographs or video you choose to submit with a product review.
Information we collect automatically
- Device and usage data: IP address, browser type and version, time zone, operating system, referring site, pages viewed, products viewed, and how long you spend on each page.
- Cookies and similar technologies: small files placed on your device that keep your cart, keep you signed in, remember your region, measure site performance and, where you consent, measure advertising.
Information from third parties
- Shopify, our ecommerce platform, and its fraud-analysis tooling.
- Payment processors and, where applicable, the provider of pay-over-time financing.
- Shipping carriers and our order-tracking provider, which return delivery status data.
- Advertising and analytics partners, where you have consented to that tracking.
2. How we use your information
- To process, build, pack, ship and deliver your order, including sending order confirmations, shipping notifications and tracking updates.
- To provide customer support, quote custom work, and answer tracking enquiries.
- To operate, secure and improve the Services, and to detect and prevent fraud and abuse.
- To comply with our legal, tax and accounting obligations.
- To send you marketing communications, where you have opted in. You can unsubscribe at any time using the link in any marketing email, or by emailing us.
- To display product reviews you submit, and to measure advertising performance where you have consented.
3. How we share your information
We do not sell your personal information for money. We share it only with service providers who need it to run this store, and only for that purpose:
- Shopify Inc.: hosting, checkout, order management, customer accounts. See Shopify's privacy policy at shopify.com/legal/privacy.
- Payment processors: Shopify Payments, PayPal, and pay-over-time providers such as Affirm (for Shop Pay Installments).
- Shipping carriers and freight partners, to deliver your order and schedule freight appointments.
- Track123, our order-tracking provider, to give you live tracking on this site and by email.
- Judge.me, our reviews provider, to collect and display verified product reviews.
- Email and SMS marketing provider, if you have opted in.
- Microsoft Clarity: product analytics. Clarity records how pages are used, including mouse movement, scrolling and clicks, and can replay those interactions as a session recording. It is configured to mask text you type. See Microsoft's privacy statement at privacy.microsoft.com.
- LB Selleasy, a product recommendation and upsell app, which reads what is in your cart and what you are viewing in order to suggest related pieces.
- Pinterest: advertising measurement, where you have consented.
- Professional advisers, and authorities, where we are legally required to disclose, or to establish, exercise or defend legal claims.
- A buyer or successor, in the event of a merger, acquisition or sale of assets, subject to this policy.
Some advertising and analytics activity may be considered a "sale" or "sharing" of personal information under certain state laws even though no money changes hands. You can opt out at any time using the privacy controls on this site or by emailing us.
4. Cookies
We use strictly necessary cookies (cart, checkout, security, load balancing), which cannot be switched off; preference cookies (region, language, recently viewed); analytics cookies; and marketing cookies. We do not show a consent banner, because the regions we sell to do not require opt-in consent for these cookies. What you have instead is an opt-out: visitors in California, Colorado and the other states with equivalent laws can use our data sharing opt-out page, linked in the footer. You can also block or delete cookies in your browser settings, though strictly necessary cookies are required for checkout to work.
5. Your rights
Depending on where you live, you may have the right to:
- Know and access the personal information we hold about you, and the categories of sources, purposes and recipients.
- Correct inaccurate personal information.
- Delete your personal information, subject to exceptions (we must keep order and tax records for the period required by law).
- Port a copy of your data in a portable format.
- Opt out of the sale or sharing of personal information, and of targeted advertising.
- Not be discriminated against for exercising any of these rights. We will not refuse service, charge you a different price, or give you a lower quality of service.
To exercise a right, email support@rootelier.com with the subject line "Privacy request". We verify your identity before acting, usually by confirming details of a recent order. We respond within 45 days and may extend once by a further 45 days where the request is complex, in which case we will tell you. An authorized agent may submit a request on your behalf with written proof of authority.
6. Retention
We keep order records for as long as needed to fulfil the order and honour the warranty, and thereafter for the period required by US tax and accounting law. Support correspondence is kept for 3 years. Marketing contact data is kept until you unsubscribe, and suppression records are kept indefinitely so we do not email you again by mistake.
7. Security
The Services run over TLS encryption on Shopify's PCI DSS Level 1 certified infrastructure. Access to customer data inside our team is limited to the people who need it to do their job. No method of transmission or storage is completely secure, and we cannot guarantee absolute security; if we ever suffer a breach affecting your data, we will notify you as required by law.
8. Children
The Services are intended for adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has given us personal information, email us and we will delete it.
9. Third-party links
Our site links to third-party sites such as carrier tracking pages, financing providers and social media profiles. We are not responsible for their privacy practices; please read their policies.
10. Changes to this policy
We may update this policy to reflect changes in our practices or the law. The "last updated" date above always shows the current version. Material changes will be announced on this page before they take effect.
